Privacy Policy

This policy explains how we collect and use personal data, why we do so, how long we keep it, and what rights you have.


01Who we are

Success Subtext is a trading name of Jags Journey Limited. It is a brand name, not a separate legal entity.

Jags Journey Limited is registered in England and Wales, company number 16500772. Our registered office is Union House, 111 New Union Street, Coventry, West Midlands, United Kingdom, CV1 2NT.

We are the data controller for the personal data described in this policy. That means we decide how and why it is used, and we are responsible for it.

We are registered with the Information Commissioner's Office, ICO registration number 09910344710.

02What this policy covers

This policy applies to personal data we process through our website at successsubtext.com, our courses and coaching programmes, our emails and marketing, our webinars and masterclasses, our forms, quizzes and questionnaires, our booking and payment processes, our messaging and support channels, and our interactions on social media.


03Where we obtain personal data

We may obtain personal data:

  • directly from you, when you complete a form, quiz or questionnaire, purchase a programme, book a call, register for a webinar, email or message us, participate in a programme, or contact us on social media;
  • automatically, through technical information generated when you use our website or open our emails;
  • from the third party providers we use to operate the business, such as payment, email, course hosting, booking and webinar providers.

04What personal data we may process

Depending on how you interact with us, we may process:

  • name;
  • email address;
  • postal or billing address;
  • invoice details;
  • telephone or other contact number, where you choose to provide one;
  • employer, role and seniority;
  • professional qualification stage, including ACA stage where you tell us;
  • career information and goals;
  • responses to questionnaires, quizzes, applications and intake forms;
  • purchase and course information;
  • responses and contributions during a programme;
  • communications with us, including emails, messages and support enquiries;
  • attendance and course progress;
  • testimonials and feedback;
  • marketing preferences;
  • technical information such as IP address, device and browser information;
  • call notes;
  • recordings, transcripts and AI generated summaries, where these apply.

Not all of this is collected from every individual. What we hold depends on what you provide and how you engage with us.


05Payments, billing and invoices

Payments are processed by third party payment providers. Where a payment provider holds payment card details, those details are handled directly by that provider in accordance with its own terms and privacy policy.

We may process the information needed to take payment, administer your purchase, issue invoices, maintain accounting records, and comply with our legal obligations.


06Forms, questionnaires and marketing systems

We use email marketing and form systems to communicate with people who have asked to hear from us and to administer our programmes.

These systems may store information that you voluntarily provide through forms, questionnaires, quizzes, sign up processes and communications. This may include your professional level or stage, role, career stage, goals, preferences, questionnaire responses, and any other information you choose to give us. Not every field applies to every person.

Information you provide in this way may be used to communicate with you, to understand what you need, to group or personalise our communications where appropriate, to provide relevant information, to improve our services, and to administer our programmes.


07Telephone numbers

We do not require a telephone number in order for you to participate.

If you choose to provide one, we may store and process it for purposes such as communication, booking, programme administration and customer support.


08Messaging platforms

Where messaging support forms part of a programme, communication may take place through messaging services that we offer from time to time, which may include Telegram.

Use of a messaging platform is voluntary. Where you use one, relevant personal data and the content of your communications may be processed through that platform, and that platform operates under its own terms and privacy policy.

We will not require you to obtain or use a personal telephone number belonging to us in order to participate.

The platforms we use may change.


09Social media

You may contact us, or interact with our content, through social media platforms.

Where you do, we may process the information contained in those interactions for communication, responding to enquiries, customer support, marketing and relationship management.

Social media platforms operate under their own terms and privacy policies, and we do not control how they process your data.


10Calls, recordings, transcripts and AI tools

Relevant calls and sessions may be recorded, transcribed, summarised, or processed using AI enabled tools. This may apply to one to one coaching calls, diagnostic calls, group coaching sessions, webinars, masterclasses and other relevant sessions.

Where this applies, it may be used to deliver the service, to maintain notes, to follow up with you, to understand your context, to provide coaching, to produce summaries, to improve how we deliver our services, and to make relevant recordings or resources available to participants.

Where we use them, third party recording, transcription, AI notetaking or summarisation tools may process the content of a session, including what participants say. Those providers process the data under our instructions or under their own terms, as described in section 15.

Where a session is being recorded, we will make that clear at the time.

Recordings and related materials are retained for as long as reasonably necessary for the purposes above.


11Sensitive information

Some information is treated as special category data under data protection law, including information about health, disability, religion or belief, or trade union membership.

We do not ask for this information, and you should avoid providing sensitive information unnecessarily.

Where you voluntarily provide it, for example because it is relevant to your circumstances in a coaching conversation, it may be processed where this is lawfully permitted and where appropriate safeguards apply.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights. You can ask us about that assessment, and you can object, as set out in section 18.


13Marketing

We send marketing communications to people who have asked to receive them, and to existing customers where we are telling them about services similar to those they have purchased.

Every marketing email includes an unsubscribe link. You can also email us at jag@successsubtext.com and ask to be removed, and we will action it.

Unsubscribing from marketing does not stop the communications we need to send you to deliver a programme you have purchased, such as access details, session information and materials.

Where you unsubscribe, we may retain a record of your email address for the purpose of ensuring that we do not contact you again.


14Cookies

We do not set analytics or advertising cookies on our website.

Cookies that are strictly necessary for a page, a login or a purchase to function may be used. These do not require your consent.

Some pages may include content embedded from a third party provider, for example a booking or scheduling tool, or a checkout or course platform. Where you use embedded content of that kind, or follow a link to a provider's own site, that provider may set its own cookies and will present its own notice and choices. That processing is governed by the provider's own cookie and privacy terms, and we do not control it.

If we introduce cookies that are not strictly necessary, we will only do so where permitted by law, and where consent is required you will be given the opportunity to make or change your choice.

You can control cookies through your browser settings, although parts of a site or an embedded tool may not work properly if you block them.


15Third party providers

We use third party providers to operate the business and deliver our programmes. Depending on the service, these may include providers of payment processing, email marketing, course and membership hosting, digital product delivery, webinar and video conferencing, scheduling and booking, quizzes and forms, document and file storage, messaging, social media messaging tools, design tools, AI, transcription and meeting note services, and virtual assistant or other professional support.

Where a provider processes personal data on our instructions, it does so under a contract that requires it to keep the data secure and to use it only for the purposes we have specified.

Not every provider acts solely on our instructions. Some, including payment providers and social media platforms, determine their own purposes for parts of the processing and act as independent controllers in their own right. Where that is the case, that provider's own privacy terms apply to its processing, and we do not control it.

We may also share personal data with our accountant and professional advisers, and where we are required to do so by law or in connection with a legal claim.

The providers we use may change from time to time. Not every provider is used for every purpose.

If our business is transferred to another party, personal data may transfer with it.

We do not sell personal data.


16International transfers

Some of our providers operate outside the United Kingdom, and personal data may therefore be transferred internationally.

A transfer of personal data outside the UK is known as a restricted transfer. Where we make one, we take steps to ensure that it is lawful, by relying on one of the following:

  • UK adequacy regulations, where the country or the receiving organisation is covered by them;
  • an appropriate safeguard approved for use under UK data protection law, such as the Information Commissioner's Office International Data Transfer Agreement, or the International Data Transfer Addendum to the European Commission's Standard Contractual Clauses, supported by a transfer risk assessment where one is required;
  • an exception under UK data protection law, where one applies.

17How long we keep personal data

We keep personal data for as long as is reasonably necessary for the purposes for which it was collected, including contractual, legal, regulatory, accounting, operational and legitimate business requirements.

When personal data is no longer required, it is deleted or anonymised where appropriate.


18Your rights

Under UK data protection law you have the right to:

  • request access to the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of your data;
  • request restriction of processing;
  • object to processing carried out on the basis of legitimate interests, and to object to direct marketing at any time;
  • request portability of data you provided to us, where applicable;
  • withdraw consent at any time, where we rely on consent. This does not affect processing carried out before you withdrew it.

These rights are subject to the exceptions and conditions in data protection law, so there are circumstances in which we may not be able to action a request in full. Where that happens, we will explain why.

To exercise a right, email jag@successsubtext.com. We will normally respond within one month, subject to any extension permitted by law. We may ask you to confirm your identity first.

If you are unhappy with how we have handled your personal data, please tell us so that we can try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by telephone on 0303 123 1113, or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.


19Children

Success Subtext is intended for adults and working professionals. It is not directed towards children, and we do not knowingly collect personal data from them.


20Security

We use appropriate technical and organisational measures to protect personal data, and we keep these under review.

No transmission over the internet can be guaranteed to be completely secure.


21Personal data breaches

We take steps to identify and respond to personal data breaches.

We will notify the Information Commissioner's Office where required by law to do so, and we will inform affected individuals where the law requires that.


22Changes to this policy

We may update this policy from time to time to reflect changes to our business, our technology, our services, our data processing arrangements, or legal requirements.

The version in force is the version published on this page, and the date below shows when it was last updated.
